Job description
Performs administrative and office support activities for multiple directors and manager. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Maintain administrative systems, procedures, and policies, and monitor administrative projects. Monitor Director’s calendars for the following day, and print all meeting invitation attachments – place in mailbox. Prepare and distribute reports (Compliance and Training, Material Check Report, AAA Report) as contained in Job Aides. Review weekly CAPCO report for expiring assignments and complete following the procedures contained in the Job Aide. Compile expense reports in Concur; book travel as requested, also in Concur. Process invoices for payment in AssetSuite 8 as assigned by Department Directors or Manager(s). Coordinate meetings as requested, including food orders. Coordinate monthly Pre-PRC initial and overflow meetings, sending out monthly reminders. Maintain accurate #PM e-mail distribution lists, adding and removing personnel as directed. Prepare and send “People On the Move” announcements as directed for new hires, internal transfers and promotions. Place service and work orders for building maintenance and repair through the Angus Anywhere system. Provide back-up Executive-Level and Admin Support as requested to accommodate vacation schedules, sick time, etc. Will be the Liaison between Property management and the department (Emergency procedures/building announcements/parking stickers distribution & audits)
Must have:
Office management experience in an Enterprise level environment
Looking for someone who can handle small projects and take them to completion without much oversite
Strong Microsoft Office skills (to include Excel and PowerPoint)
Experience maintaining calendars for managers
Desire to anticipate the needs of the department
Experience tracking filing and keeping an office/department organized
Experience coordinating meetings (including ordering food)
Experience booking travel and handling expenses with Concur
Office management experience in an Enterprise level environment
Looking for someone who can handle small projects and take them to completion without much oversite
Nice-to-Have:
Six Sigma experience, training or certification (at a minimum experience in a process driven environment)
